Scope and identity
Operated by Audia Systems LLC, DBA Bailey Enterprises, within the broader GLC / Gwyn Legacy ecosystem.
AUDIA, the Adaptive Unified Distributed Intelligence Architecture, is an intelligence architecture and platform ecosystem operated by Audia Systems LLC, DBA Bailey Enterprises.
Institute for Civil Memory is a nonprofit-oriented initiative within the GLC / Gwyn Legacy ecosystem. It is not currently filed as a separate nonprofit entity and is not currently soliciting or collecting donations.
This policy applies to EmailSign.Design, the email signature builder, templates, account features, analytics, exports, public website pages, applications, APIs, dashboards, prototypes, and related client services where this policy is linked.
Information we may collect
Contact and account data
Name, email address, login details, organization details, support requests, service records, and email communications.
Signature and project data
Email signature profiles, templates, logos, links, images, brand settings, exported HTML, installation choices, project records, and uploaded files.
Technical and usage data
IP-derived data, browser and device data, cookies, local storage, session storage, analytics events, click or view records when enabled, request paths, security events, API activity, and diagnostic logs.
Client service data
Operational notes, implementation details, workflow records, support context, and service documents needed to provide contracted services.
How information is used
Information may be used to operate the website and builder, create and store signatures, provide templates and exports, manage accounts, respond to requests, provide support, maintain security, troubleshoot errors, improve product workflows, generate analytics requested by users, and document service activity.
Data may be stored in WordPress, plugin databases, local systems, self-hosted servers, email systems, analytics or security tools, backups, and client-approved service providers depending on the workflow.
Protection, retention, deletion, and sharing
Reasonable safeguards may include access control, least privilege, private administrative surfaces, encrypted transport where supported, backups where applicable, logging, and security monitoring. Data is retained only as long as reasonably needed for operations, support, legal, security, backup, audit, contractual, or business purposes.
Data may be shared with service providers, infrastructure providers, professional advisors, security responders, payment processors where applicable, or authorities when needed to operate services, comply with law, protect rights and security, or fulfill a client relationship. Personal information is not sold as a standalone product.
Requests for access, correction, export, deletion, or restriction may be sent to hello@emailsign.design. Verification may be required before action is taken.
Health, research, and regulated data
Do not submit protected health information, regulated clinical data, research participant data, credentials, secrets, or highly sensitive personal data through general website forms or builder fields unless a written agreement and approved workflow are in place.
A Business Associate Agreement may be available for eligible HIPAA-regulated workflows before PHI is processed, transmitted, stored, or accessed through Audia Systems LLC services. Public website language alone does not represent HIPAA compliance.
